The Campus Organizations Accounting Office is located at
1580J Memorial Union, West Student Office Space.
Note: New location in the West Student Office Space in the Memorial Union
Office hours are: 8:00 am to 5:00 pm during the academic year;
7:30 am to 4:00 pm during the summer and
breaks.
Payment Processing Changes
The preferred method of payment for student organizations has
now moved to the Student-Held Pcard!

Campus Org. Accounting will be beginning the process of eliminating vouchers for reimbursements beginning
July 1. The method of payment will be changing from vouchers to the
Student Held P-card (VISA) with some
exceptions:
- Emergency (this will be up the COA manager’s discretion)
- Vendor doesn’t accept credit cards at all. (Sam’s Club update: since this vendor doesn’t accept
VISA credit cards, we are allowing groups to purchase a gift card from Wal-Mart and use it at Sam’s Club.
The group would attach both receipts to the transaction in Access Plus and must be within $10 on the
amounts used vs. balance on the gift card). See Tim Livengood for details.
- Stipend or honoraria payments which require a W9 for tax reporting purposes
- Mileage (very few cases of these and we prefer to pay for gas directly with a p-card)

training via Blackboard.
Special Handling
Effective March 1, 2013, same-day emergency checks are no longer available. However, since checks are
now written five days per week, there is less of a need for same-day checks. When a check needs to be picked up by
a departmental representative, the check will be available the next day in the Accounting Office in the
Administrative Services Building. Departments requiring special handling should attach a note to the voucher to make
that request. Since there is a $25.00 fee for special handling, it should only be requested when necessary.
